Flexible Work Arrangements Renewals and Reminders

As we approach the end of the fiscal year and as the University continues to finalize the permanent Flexible Work Arrangement (FWA) policy, supervisors and area leadership are encouraged to review all Interim Flexible Work Arrangement Agreements and their expiry dates for all employees in their areas to ensure that they are active and accurate.

Individuals may have Flexible Work Arrangements that are expiring soon. If an individual with an expiring FWA Agreement intends to continue working remotely or flexibly, a new Agreement must be submitted for them as soon as possible with new effective dates and to confirm the employee’s remote work arrangement and location are accurate.

The process for implementing a Flexible Work Arrangement is outlined on the Flexible Work Arrangement SharePoint section.

  • For those who need to renew their Agreement: Only the FWA Agreement form needs to be submitted with all required signatures.
  • For those who were not previously on a Flexible Work Arrangement but wish to start one: Both the Employee or Supervisor Request Form and the FWA Agreement form must be submitted with all required signatures.

The FWA Agreement form has been updated to gather all necessary information for the employee and their intended work location. All FWA Agreements must now be signed by the RC Head (or RC Head Designate) in addition to the signatures already required for both the employee for whom the Agreement is being created and their supervisor.

Each individual's adherence to the Flexible Work Arrangement process is vital in guaranteeing that every area and employee remain compliant with the interim policy and procedure. Submitting a new Agreement for those with expiring Agreements ensures this compliance and that the University is informed and aware of the remote or flexible status of employees.

Additionally, some employees may have begun working flexibly or remotely without having a formal Agreement on file with the University. For instance, an employee may have completed an employee request form, but never completed the formal FWA Agreement. For those that are unsure if an employee has a formal Agreement on file, it is recommended that a new Agreement is submitted for the employee.
