When you join the University of Pittsburgh community, you are responsible for completing and submitting the appropriate clearances, which can be accessed through your my.pitt account online. Training programs are also available on this page and online through PRISM TRKS.
At the University of Pittsburgh, we encourage you to complete computer-based interactive training programs. You may also access these trainings through my.pitt.edu > My Resources > Human Resources; links are on the left side of the portal.
These trainings must be completed within your provisional period:
- Preventing Discrimination and Sexual Violence: Title IX, VAWA, and the Clery Act Training
- Discrimination and Harassment Prevention (required of all employees)
- Child Abuse Recognition and Reporting (if applicable)
PRISM TRKS (Time Record Keeping System) is the University's automated time and attendance system. Employee training for PRISM TRKS is computer-based and is available on the website. The system can be used to record hours worked and overtime, as well as used to change benefits elections, access Payroll, and complete training programs. Tech Instruction from CSSD
Computer Services and Systems Development (CSSD) provides a wide variety of educational resources to help University students, faculty, and staff become more proficient with computing resources and applications to facilitate academic and job productivity.
New employees to the University of Pittsburgh must complete the following necessary verifications after accepting an employment offer and bring supporting documents to the Office of Human Resources as soon as possible. Failure to do so will result in suspension from work.
Form I-9: Employment Eligibility Verification
If you did not have the supporting documents for the Form I-9 at Orientation, please bring your original form(s) of ID to the Office of Human Resources as soon as possible. The documentation is due within three working days of your date of hire. Failure to produce the supporting documents will result in suspension from work, up to and including termination. Review these instructions for filling out your Form I-9.
Child Protection Clearances
If you did not have the supporting documentation (such as receipts or results) to complete the three required Child Protection Clearances (PA State Police Request for Criminal Record Check, PA Child Abuse History Clearance, FBI Criminal Background Check, and Employee Disclosure Statement), please bring them to the Office of Human Resources as soon as possible. Failure to produce the supporting documents will result in suspension from work, up to and including termination.
Form I-9 Re-Verification for Current Employees
To continue employment past your original work authorization date, your work authorization status must be re-verified through the University's electronic Form I-9 system. This must be completed before or by the date of work authorization expiration. Form I-9 re-verification is performed by the Office of Human Resources. You must bring your new employment authorization document(s) to OHR for re-verification as soon as possible to continue working.
Individuals that need to complete Form I-9 re-verification should visit the Office of Human Resources. No appointment is necessary.
OHR is located in 100 Craig Hall, 200 S. Craig Street, and regular business hours are Monday - Friday, 8:00 a.m. - 5:00 p.m.
Please note: a re-verification does not require a new Form I-9 to be started. While OHR will handle re-verifying your Form I-9 in the system once the appropriate documents are presented, the second section of the Form I-9 must be completed by the employee by visiting a Service Center.
If your work authorization status is changing from Non-Immigrant to Permanent Resident or from Permanent Resident to U.S. Citizen, you must notify the Payroll Department by submitting a copy of your Permanent Resident Card or other work authorization documentation used for the I-9 change through their secure site.
